Gain commitment, create understanding and demonstrate value. It is critical to create a communications plan that gains the commitment from three key stakeholder groups: executives, line managers and individual participants.

Contextualise the process. The electronic process needs to be used within a broader framework of policies, practices and procedures that support effective performance management. PeopleTree can support the process of reviewing the current policies, practices and procedures to maintain a positive performance management culture that will support the implementation of a new process. It will also ensure clear communication from the outset regarding these issues.

Align performance measures to strategic business objectives. In order to monitor and correct business performance against the strategic objectives, it is important to align individual effort to the critical value drivers that empower the organisation to reach these objectives. Create a robust source of data. The foundation of an effective performance management process is not only a supportive environment but measuring and managing relevant data. It is therefore important to create a master list of measures that are linked to the critical key result areas and that guides appraisers in constructing the appraisal document. It also ensures consistency across the organisation.

Ensure process efficiency. To ensure that the process runs smoothly, the system should be accurately populated with participant demographic data linking the correct staff members with their relevant managers, multi-raters and e-mail addresses. If the process is to be placed on the intranet, dial-up access needs to be made available to PeopleTree.

Train HR custodians that can train and assist appraisers, co-ordinate the process, and generate and interpret reports. The HR consultants and administrators will be trained to assist line managers, and to maintain and manage the performance management process. They will be equipped to respond timeously to managers’ requests and queries and to co-ordinate the entire performance management process.
